Job Description
The Executive Assistant role reports to the Chief Executive Officer and is responsible for standard administrative and remote office operational support.
Roles and responsibilities
- Executive level administrative support for President/CEO and potentially other executives as needed
- Extensive coordination of calendars between the CEO, clients, and partners using Outlook
- Extensive organization of CEO's email, follow-up correspondence, and meeting coordination
- Coordinate CEO's domestic and international travel schedules, arrange meetings and teleconferences
- Produce business status reports that summarize operational metrics, sales, and accounting information.
Aids in developing internal HR policies and programs
- Provide HR administration functions for recruiting candidates such as job postings, recruiting, new employee set up/orientation, maintaining personnel files
- Update and maintain the company policies/handbook
- Conduct regular payroll and wire transfers to employees and contractors for scheduled payments
- Participate in the coordination and preparation of events, business meetings, luncheons, and dinners
- Conduct research and compile data on industry trends, competitive landscape, and partner activities
- Take and distribute detailed teleconference meeting minutes as needed
- Handle office supplies procurement and delivery confirmation
- Minor billing, invoicing, and contract handling when bookkeeper is unavailable
- Serve as the administrative "hub" for the office, ensuring client, employee, and contractor needs are met
requirements
- At least 3 years of prior experience supporting a "C" level, VP, or director level executive
- Prior experience with HR functions a plus
- 4 year College degree preferred
- Must have productive home office environment to support home computer, printer using high-speed internet
- Must have exceptional skills with MS Office product including Word, Excel, Outlook and PowerPoint.
QuickBooks a plus
- Excellent oral and written communication skills
- Effective coordination of information flow, communications and projects in a confidential and professional manner
- Excellent organizational skills are a must
- Ability to multi-task, effectively interface with all levels, solve problems and take initiative
- Self-motivated, independent, and aggressive
- Works well in a growing, dynamic and virtual environment of 35 employees

Location/hours
This is a full-time (M-F) position where you will work primarily from home. Candidate should be located in East-Bay area of Northern California, as it is expected that you will spend 20% of your time at company headquarters in Danville, CA.
compensation
This position will pay a base salary between $42-50k depending on experience and offers a competitive benefits package. This position will start out as a contract-to-hire for the first 30-60 days but will not affect salary, just benefit eligibility.
